You can take steps to make the individual tax preparation process smoother and less stressful. Tax time does not have to give you headaches. With a little organization and proactive communication, you and your tax advisor can work together for an efficient experience, saving you time and money.
Here is how:
Step 1: The Tax Organizer
At Quilca CPA Group, we start your tax preparation journey in January by sending you a detailed Tax Organizer. This is not just a checklist – it is your personalized guide to gathering everything we need to prepare an accurate and complete tax return. Here is how to get the most from it:
- Take Your Time: Open the Tax Organizer as soon as you receive it. The cover letter outlines important changes and the engagement letter establishes the scope of work. Make sure to give these a thorough read.
- The 1040 Organizer Questions: Pay special attention to this section. These multi-part questions cover potential life changes, income sources, or deductions applicable to you. A “Yes” answer often requires additional information, so include all relevant details.
- Official Forms Are Key: Do not just write numbers from forms like W-2s or 1099s in your Organizer. Be sure to provide us with the full, unaltered government-issued documents, including all pages and any backup schedules.
- No Stickers: Avoid adding sticky notes or labels directly to your tax forms. While well-intentioned, it creates extra work when we prepare your documents for scanning.
Step 2: Secure and Efficient Communication
In today’s digital world, we receive your tax information in multiple ways (email, our secure portal, text, etc.). Ensuring the security of your sensitive data, while maximizing efficiency, is our top priority. Here is how you can help:
- Our Preference: We have several secure file-sharing options for you. We can either send you a link directly or even set up a dedicated portal for all your documents. This is the safest, most organized method, and it is always available.
- File Organization Matters: When uploading, label your documents clearly and group similar forms together. Keep multi-page documents in order and as a single file. If you will be sending files over several days, let us know when you are finished.
- Cybersecurity Best Practices: Never email files with your social security number or other highly sensitive information. Avoid texting documents or taking pictures of them, as both lack security and image quality. Scanned documents or official electronic copies are always best.
Step 3: Timely Review and E-file Authorization
Your timely review of your completed tax return and prompt signature on your E-file Authorization form allow us to submit your return to the IRS without unnecessary holdups.
- Review Carefully, Then Sign: As soon as you receive your tax return, give it a thorough review. Once satisfied, sign and return your E-file Authorization form immediately. This allows us to get your return filed as quickly as possible.
- Amending is Avoidable: Any changes discovered after we file with the IRS will mean filing an amended return. Avoid delays by carefully reviewing before you sign.
- E-File Does Not Equal Payment: We can e-file your return before you make your payment. If you need extra time to gather funds, do not worry about delaying the e-filing process – just send your payment to the IRS by the due date.
